Overview
The Administration Department at PFRDA plays a crucial role in ensuring the efficient and smooth functioning of the Authority through comprehensive support across infrastructure, resources, and administrative operations. Its key responsibilities are outlined below:
Key Functions
1. Office Infrastructure and Facility Management
The Department oversees the maintenance and smooth functioning of PFRDA’s physical infrastructure and internal facilities. Key areas include general upkeep of office premises, pantry services, security arrangements, and management of outsourced personnel. It also administers Annual Maintenance Contracts (AMCs) for essential services such as pest control, RO systems, and coffee machines, and conducts regular checks on firefighting and security equipment to ensure compliance. The library is also managed under this function to support internal knowledge sharing.
2. Procurement and Resource Management
This function covers the efficient procurement of office resources and services. The Department prepares Request for Proposals (RFPs) and tender documents for outsourcing requirements, ensuring transparency and adherence to procurement norms. It also manages stationery and consumables, supporting the day-to-day operational needs of the Authority.
3. Asset and Inventory Oversight
The Department maintains the Fixed Asset Register to accurately track and report all movable and immovable assets of the Authority. It also handles stock inventory management to ensure availability and proper usage of office supplies through systematic record maintenance and periodic verification.
4. Administrative Operations and Protocol
This area includes handling official correspondence, receipt and dispatch of DAK, and maintaining organized off-site file storage for effective record-keeping. The Department also manages protocol duties for Top Management and visiting senior officials, ensuring proper coordination, hospitality, and logistics in accordance with official decorum.
5. Events Organised
The Administration Department also coordinates and manages official events, conferences, and meetings on behalf of the Authority. This includes making necessary arrangements for logistics, hospitality, and venue setup. Additionally, the Department handles the organization of official lunches and related engagements, ensuring smooth execution as per the protocol and administrative standards.
